Getting started

Navigate your workspace

How a workspace holds your channels, posts, and media, and how to plan for several channels at once from one screen.

Updated

On this page

A workspace holds its own channels, posts, and media library. The planner works on one workspace at a time and shows every channel in it on the same screen.

Switch workspaces

Your active workspace sits in the top left of the app. Select it to open the switcher. Each row shows the workspace name and how many of its channels are connected. A search box appears above the list once you have more than two workspaces. Add & Edit Workspaces at the bottom opens the workspaces settings page.

The count under the name is linked channels only, the checkmark marks the workspace you are in, and Add & Edit Workspaces at the bottom opens the settings page.

Add, rename, or remove a workspace

All three live on that settings page.

How many workspaces you can have shows above the table, and Settings on the row is where renaming, the icon, and deleting live.
  • Add one with Create workspace. Name it, then select Create. How many you can have depends on your plan, and you can buy extra ones — see choosing a paid plan.
  • Rename one or change its icon with Edit workspace, then Save Changes. The icon is what you see beside the name in the switcher, so it is worth setting when you run more than one.
  • Remove one with Delete workspace. It takes the workspace's posts and media with it.

A workspace you were invited to belongs to whoever created it. See managing team members.

Your channels

The channels set up in the active workspace appear as avatars in the top right, in a fixed order: Instagram, Facebook, TikTok, Pinterest, LinkedIn, YouTube, Threads, X. Every platform starts with a reminder-only channel, so all eight avatars are there from the first day. A + button appears at the end of the row only once you have deleted a platform's channel, and it holds the platforms with no channel at all.

Select an avatar to open that channel's menu. A platform that is still reminder-only offers Link Account and, if you own the workspace, Delete. A linked channel offers Unlink Account, Refresh Channel Connection, and, if you own the workspace, Delete. Enable Reminder-Only appears only on a platform whose channel you have deleted. X carries no Link Account item, because it cannot auto-post.

Instagram's menu, opened from its avatar. Unlink Account turns the channel back into a reminder-only one, Refresh Channel Connection sends you back through the platform's login, and Delete takes the channel out of the workspace.

Instagram, Facebook, TikTok, Pinterest, LinkedIn, YouTube, and Threads can auto-post once they are linked. X is reminder-only, so Planoly notifies you at the scheduled time and you publish in the X app. Amazon is not available in the planner.

Create one post for several channels

  1. Select Create Post at the top of the left panel.
  2. A new post reads Click to add your channels. Select it, or the + beside it, and pick what you want from Select channels. Once a channel is on the post, that + sits at the end of the tab row.
  3. Add your media and write your caption.
  4. Select a channel's tab to give that channel its own caption, media, and options.
  5. Under Posting method, choose Reminder or Auto-post for that channel.
  6. Select Schedule, or Save as draft to finish later.
Two channels on one post, with + after the tabs to add more. The caption is marked Applied to all channels until you change it on a tab, and Posting method sets Reminder or Auto-post for the tab you are on.

The scheduling popup has two tabs. Schedule all sends every channel out at one time. Customize per channel gives each channel its own date and time. Unschedule clears a time you already set.

The create menu

The caret beside Create Post opens four more options.

  • Upload media — start a post from photos or videos.
  • Placeholder — reserve a slot on your grid with no media.
  • Bulk create — add several posts at once.
  • Generate ideas — AI-generated post suggestions.
The caret is the narrow button attached to the right of Create Post. Each of its four options carries a line saying what it does.

Bulk create

Bulk create opens a table where each row is one post, with its own media, social channel, caption, and draft date. You can upload up to 20 files in a session.

Bulk settings above the table fills the rows in for you. Set a Social channel or a Caption, then select Apply to all beside it. The date picker in the same bar puts one date and time on every row, and Interval dates spaces the rows out instead. Tick some rows first and these controls read selected and touch only those rows.

Save draft saves every row as a draft. Open a draft afterwards to schedule it.

Bulk settings at the top fills the rows in: set a Social channel or a Caption, then select the Apply to all beside it. Select date & time for all and Interval dates in the same bar do the dates, and the row count and media count sit in the footer next to Save draft.

Views

The left panel has three views, chosen from the toggle in the action row.

  • Instagram grid view — your planned posts laid out above your live Instagram posts, with Grid, Reels, and Stories tabs.
  • List view — your posts in a chronological list.
  • Gallery view — your posts as thumbnails.

List and gallery view carry a row of channel pills under the toggle. All shows everything, and every other pill narrows the panel to one channel. Every channel the workspace has set up gets a pill, reminder-only ones included.

The three icons in the middle of the row are Instagram grid, list and gallery view, and the two at the right end are Filters and Share report. The pills below narrow the panel to one channel, and the row scrolls sideways to reach the channels that do not fit.

Filters, second from the end of the action row, opens Status, with checkboxes for Drafts, Scheduled, Published, and Failed. With nothing checked you see every post, and Clear returns to that. Share report sits after it.

The calendar

The calendar fills the right side of the page. Switch it between Month, Week, and Day from the toolbar above it.

Month view. Month, Week and Day sit at the right of the toolbar, today's column is shaded, and each post shows its time and its thumbnail. A day with more posts than fit ends in a plus more link.

Resize the two panes

The seam between the post list and the calendar is draggable. Drag it to change how the width is split. The split sticks, including after a reload.

The default split: the post list on the left, the calendar on the right, and the seam you drag in the gap between them.

Drag far enough past a pane's minimum and that pane collapses. The other one takes the whole width. Drag back in the same motion and the pane returns. A collapsed pane leaves a rail behind: a chevron on the left for the post list, a narrow calendar rail on the right. Select the rail to bring the pane back.

With the calendar collapsed the post list takes the full width, and gallery view runs eight thumbnails to a row with every channel pill on one line. The rail on the right with the double chevron brings the calendar back.
With the post list collapsed the calendar takes the full width and the post titles on it get more room. The rail on the left with the double chevron brings the post list back.

A collapsed calendar stops accepting posts dragged onto it.

On a narrow window there is no seam to drag. A button in its place collapses and expands the post list instead.
