Use calendar notes

Put a coloured reminder on a date, repeat it, and turn it into a draft post when the content is ready.

A calendar note is a coloured reminder on a date. It carries a title, a note, a time, and an optional repeat, and it can become a draft post when you are ready.

Create a note

In Month view, hover the day you want. A + appears in its corner. Select it, then Calendar note.

In Week and Day view, select an empty time slot. Add to calendar opens with Create new post and Create calendar note.

Neither is offered in the past: past days have no + in Month view, and Week and Day view ignore a slot whose time has already gone.

The + appears in the top corner of the day you hover. Calendar note is the third item in its menu, under New post and Placeholder. Saved notes show as a title with a coloured bar down the left edge.

Fill it in

Select Save. The note appears on the calendar in its colour.

A monthly or yearly repeat is counted from the original date, so a note on the 31st lands on the last day of a shorter month and returns to the 31st after it.

Edit or delete

Select the note on the calendar to reopen it. The footer holds Delete, Convert to draft, and Update.

The colour swatch sits to the left of the title. Delete is on the left of the footer; Convert to draft and Update are on the right.

Deleting a repeating note asks which you meant: This note only, or This and all following notes.

Editing works differently on each surface. In the mobile app, changing a repeating note changes only the occurrence you opened. On the web there is no such choice: Update rewrites the whole series from the occurrence you had open, and the series restarts on that date, so earlier occurrences disappear from the calendar. To change one date on the web, delete that occurrence with This note only and create a new note for it.

Turn a note into a draft

  1. Open the note and select Convert to draft.
  2. Confirm.
  3. On Choose platforms, pick the channels the post is for.
  4. Select Create draft.

The post builder opens on the new draft. The note's title becomes the post name, the note body becomes the caption, and the colour and date carry over. Add your media, write the caption properly, and save or schedule it.

On mobile

Open the Calendar tab and select the round note button in the bottom-right corner. The note opens on the day you have selected. The repeat options, Convert to draft and Delete note match the web. Two things differ: the app has no End date, so a repeating note made there runs on until you delete it, and it does not require a title — an untitled note saves as "Untitled".

The app's create menu offers Media, Placeholder, and Post. Calendar notes are made from the Calendar tab instead.

Use a note for a recurring reminder that never touches the grid. Use a placeholder to shape the look of your grid.

Other things on the calendar

The gear in the calendar toolbar holds three settings:

  • Social Events — which categories of social calendar events show on your calendar.
  • Quick Schedule — your saved posting time slots, and Instagram's Best Time to Post.
  • First day of the week — which day the week starts on.
