Use the media library

Store photos, videos, notes, and links in one workspace library, organize them in folders, and turn them into posts.

The media library is the workspace's store of content you have not posted yet. It holds four kinds of entry: media, notes, links, and folders. Everything in it belongs to the workspace, so every member sees the same library.

Before you start

Adding to the library, and pulling media out of it into a post, both require a paid plan; a free trial counts. If you are not the workspace owner, the owner has to upgrade. On a free plan the library page still opens and you can browse, rename, move, and delete what is already there.

Open the library

Select Media Library in the left sidebar.

Folders come first, then loose items. Each card's three-dot menu holds rename, move, and delete.

Add to the library on the web

  1. Select New Media.
  2. Pick Media, Notes, or URL.
  3. For media, choose your files or import from Dropbox, Google Drive, Canva, or stock media. For a note or a link, fill in the form.
  4. Save.

A media entry holds between 1 and 20 files, so one entry can be a single photo or a whole carousel.

To make a folder, select the folder icon beside New Media. Folders nest up to 10 levels deep.

Find things

The library lists folders and items together. Filter by All, Folders, Media, Notes, or Links, and sort by Newest first, Oldest first, or Custom. Search matches a folder's name and an item's title or description.

Custom is the order you arrange yourself. Drag an entry to where you want it and the new order is saved for the whole workspace. It pairs with Instagram grid view, where dragging tiles into place is how you plan what a feed will look like.

Gallery view is the one the library opens in. Every entry is a card, its title above a square preview.

Gallery view is the one to browse in. The preview is large enough to pick a photo by eye, and each card's header carries a photo icon, the title, and a three-dot menu.

List view gives each entry a single row: a thumbnail, the title, and what kind of entry it is.

List view fits far more entries on one screen, so it is the view for finding something by name.

Instagram grid view drops the titles and lays the items out in three flush columns, so the folder reads the way a feed does. Folders are left out, and the filter, search, and sort controls go with them.

Instagram grid view is for judging how a folder will look as a feed. It shows items only, never folders, and offers no filter, search, or sort.

Use library media in a post

From the post builder, add media and pick Media Library as the source, then choose the entry you want.

Or start from the library: select the media entries you want, then select Create draft (Create drafts when you picked more than one). Pick the channels in the Choose where to post dialog and Planoly creates one draft per entry on each channel you picked. Notes, links, and folders cannot become drafts.

Selecting two or more media entries in the same folder also offers Combine into carousel, which merges them into one entry carrying all their files.

Add to the library in the mobile app

The library is the Media tab. Tap the floating button to open Add to library, which offers the camera roll, the camera, stock media, Dropbox, and Google Drive, plus Group photos, Write a note, Paste a link, and New folder.
